Your Virtual Assistant works one-on-one with you; getting to know you, your work and your preferences. Although your VA services other clients in addition to you, your VA will schedule their days and prioritize tasks so you get what you need done without delay. Our VAs complete most tasks the same day.

First, we have a conversation so that we understand the work you do and what you are looking for. We take a very personalized approach when matching our clients to our Ninjas. We ensure skills, working style and personality are all a good fit.

All our candidates go through a rigorous interview process and skills assessment. This process helps us evaluate their skill set and get a sense of their personality, passions, and goals.

As a result of our very tailored approach to both recruitment and matching, we are rarely asked to make staffing changes. However, when a request is made, we get you started with a new Virtual Assistant ASAP.

Your Ninja will respond within a couple of hours to let you know they have received your request. Most tasks are completed within 24 to 48 hours, depending on the request. If you make a request after business hours, your assistant will begin working on your tasks the following business day.

Our Ninjas are located in the US and work with clients all over the country. Your Virtual Assistant will work in the US time zone you prefer, East Coast (EST) or West Coast (PST). Our staff work 9am to 5pm, Monday through Friday.  You can submit a task any time. If after business hours, your assistant will begin working on your task(s) the following business day.

100Ninjas is a monthly membership service. As a subscriber, our clients retain a dedicated Virtual Assistant. Therefore, plan hours do not roll over.

If you run out of time during a billing cycle, you can add hours, as needed. The charge is slightly higher per hour, depending on your plan. You can increase the number of hours on your plan at any time. If you would like fewer hours on your plan, you can make changes for the next billing cycle.

100Ninjas is closed for the following US holidays. Time for your Ninja to take a well-deserved break, and hopefully, you too.

Our Ninjas work a half day on the Wednesday before Thanksgiving and on December 31st.

100Ninjas is more than happy to provide a backup for those times when your Ninja is sick, on vacation, or taking time off for personal reasons.  Your dedicated assistant trains one of their colleagues as a stand-in. If you do not want coverage when your Ninja is out, just let us know and we will credit your account.

You are free to reach your Ninja by phone, however your Ninja cannot accept calls from others on your behalf.

Your Ninja can reach out to vendors, call clients or wait on hold to resolve issues for you. We do not make sales calls to solicit customers.

Our Ninjas are computer savvy self-starters. If your system is accessible via the internet, and you can provide the guidance and support, they will be happy to learn the required software.

Yes! Your Ninja is an integral part of your team. A company email address allows them to send and receive emails from your domain and we find that most clients prefer to do this.

In order to complete certain tasks, you may want to share credit card information or passwords with your Virtual Assistant. Although each of our Virtual Assistants goes through a rigorous interview and vetting process, as in any relationship, it is important to take time to build trust with your Virtual Assistant before sharing confidential information. If you decide to share sensitive information with your Virtual Assistant, we recommend using a Password Manager. Please do not share any secure information via email.

Our Ninjas can’t do the following tasks, but can help you find someone who is perfect for the job:

Our Ninjas work virtually and, therefore, cannot provide in-person services.

Our Ninjas are smart, but cannot work in any specialized roles that require a professional license. This includes, but is not limited to, legal and accounting services.

Our Ninjas can manage your social media, but cannot provide any original writing, design or creative work.

You are charged the price of your plan, and that is it.

100Ninjas does not charge a set up fee. You can set your Ninja up with your company email address, have your Ninja work with other team members and meet with a Client Support Specialist, all as part of your monthly plan.
